BonBooking is a product of Helpermedia. Helpermedia respects your privacy. This policy explains what personal data we collect on bonbooking.com, why we collect it, how we use it and the rights you have over it.
This policy covers our marketing website only. It does not cover the booking websites we build and host for our customers. Each rental organisation is responsible for its own privacy policy in relation to guests and bookings.
1. Who we are
Helpermedia, operating under the trade name BonBooking, is the controller of the personal data processed through this website.
- Chamber of Commerce (KvK): 02098933
- Contact: info@helpermedia.com
2. What data we collect
We only collect the data we need to answer your questions and run our business.
- Contact and demo requests. When you use a contact form, request a demo or submit a package enquiry, we collect your name, email address, phone number, company name and the message you send us.
- Newsletter subscriptions. When you subscribe to our newsletter, we collect your email address and a record of your consent (timestamp and the page you subscribed from).
- Website usage. Our servers automatically log technical data such as IP address, browser type, language preference, pages viewed and timestamps. If you accept analytics cookies, we also collect aggregated usage statistics.
- Email engagement. Emails we send through our delivery provider may include delivery and open tracking so we can monitor deliverability and improve our communications.
3. Why we process your data
- To respond to your enquiries and demo requests, and to follow up on our conversation. Legal basis: steps taken at your request before entering into a contract, or our legitimate interest in responding to business enquiries.
- To send you our newsletter and relevant product updates. Legal basis: your consent. You can unsubscribe at any time using the link in every newsletter.
- To keep the website secure, diagnose problems and improve how it performs. Legal basis: our legitimate interest in running a reliable service.
- To comply with legal obligations where they apply, for example tax and accounting rules or lawful requests from authorities.
4. Cookies and analytics
We use a limited set of cookies. Strictly necessary cookies are always active so the site can function. Analytics and marketing cookies are only placed after you give consent through our cookie banner (Klaro).
You can change or withdraw your cookie choices at any time by reopening the cookie banner.
5. Who we share data with
We do not sell your personal data. We share it only with service providers that help us operate the website and communicate with you, and only to the extent they need for that purpose:
- Email delivery. We use Postmark (part of ActiveCampaign, Inc., US-based) to send confirmations, replies and newsletters reliably.
- Hosting. Our website and data are hosted on Linode (part of Akamai Technologies, US-based). The virtual servers we use are located in the Netherlands.
- Analytics. When you accept analytics cookies, usage data is processed by Google Analytics (Google LLC, US-based) to produce aggregated reports.
- Authorities. We disclose personal data when we are legally required to do so.
Our processors are only permitted to use your data for the purposes we have defined, and are subject to applicable data protection law.
6. International transfers
We keep personal data within the European Economic Area wherever possible. Our email delivery, hosting and analytics providers have parent companies in the United States; for those services we rely on the European Commission's Standard Contractual Clauses as the transfer safeguard.
7. How long we keep your data
- Contact and demo enquiries: up to 24 months after our last contact, unless a commercial relationship starts.
- Newsletter subscriptions: until you unsubscribe. Consent records are kept for a further period as proof of consent.
- Server logs: up to 12 months for security and diagnostic purposes.
When data is no longer needed, we delete or anonymise it.
8. Your rights
Under the GDPR you have the right to access, rectify, erase, restrict or object to the processing of your personal data. You also have the right to data portability and the right to withdraw consent at any time for processing based on consent, without affecting the lawfulness of prior processing. You can exercise these rights by emailing info@helpermedia.com. We may ask you to confirm your identity before we act on the request.
You also have the right not to be subject to a decision based solely on automated processing that produces legal or similarly significant effects for you. We do not use such automated decision-making or profiling.
If you believe your data is not being handled correctly, you have the right to lodge a complaint with your national supervisory authority. In the Netherlands this is the Autoriteit Persoonsgegevens (autoriteitpersoonsgegevens.nl).
9. Security
We apply appropriate technical and organisational measures to protect your data, including encrypted connections (HTTPS), access controls, regular backups and timely security updates. Only authorised staff have access to personal data, and only where needed for their work.
10. Changes to this policy
We may update this policy from time to time, for example to reflect new features or changes in the law. When we do, we update the date at the bottom of this page.
